WEBCON BPS 2019 introduces WEBCON BPS Portal – a new graphical interface for system users. It is an uniform and coherent platform which organizes processes into applications and allows for an easier navigation between them. It has functions of creating reports and dashboards presenting data and making the work with applications much easier.
WEBCON BPS Portal has a compact structure which consists of:
- Main Portal page
- Application websites shared on the Portal.
This article focuses on the first of these elements and describes basic fields available to the user on Portal main page.
2. Basic elements available on WEBCON BPS Portal main page
2.1. Task counter
Task counter informs the user about the total number of assigned tasks in all applications configured in Portal.
Counters are divided into three categories:
- New tasks – shows number of all new tasks to complete for which the user haven’t displayed items’ form. After displaying the appropriate form the counter will decrease regardless if the user has taken any action.
- Active tasks – shows number of all tasks assigned to the user. Counter will decrease after completing the task.
- Overdue tasks – shows number of all tasks assigned to the user for which the completion time is overdue. Counter will decrease after completing the task.
Additionally an icon with number of unread tasks in the system is displayed on the toolbar. This counter is available regardless of the chosen application. It regularly informs the user about the number of new tasks.
2.2. Application list
This section consists of all the applications that the user has access to. It is divided into two segments:
- Frequently used applications – covers all the applications which are most frequently used by the user. Allows for faster selection of a needed application.
- List of available applications – covers all the applications that the user has access to. Applications are organized into groups displayed in alphabetical order. Those groups are equivalent to the groups configured in WEBCON BPS Designer Studio.
Application in this view displays not only its name but also a description, task counter (in context of a specific application) and an information about the application supervisor.
Additionally a context menu is available. It allows to start a new instance inside the application without the need to open application website. It also allows to display information about processes configured within the application.
2.3.1. Instance search
WEBCON BPS Portal introduces completely new method of searching for instances in the database. Search is based on Solr engine. This solution allows to search in mere milliseconds even through very big data clusters.
Search panel is available on portal upper bar and can be accessed from every portal instance.
2.3.2. Application search
If the user works with many applications then he will find application search helpful. After providing a part of the name it will display applications matching the phrase.
2.3.3. Searching in the structure
Search is also available from the level of the navigation panel, where a dedicated form field allows the user to provide a complete phrase or a part of it. Results are presented at the time of inputting the text and are automatically narrowed down as more characters are typed. Clicking on the item visible in the results moves the user straight to the search report or starts a new workflow instance.
2.4. My tasks view
On the left side of the menu you can find users inbox. My tasks view covers a list of all tasks assigned to the user – the tasks form can be quickly previewed. The form is displayed together with full edit mode, option to change fields value, add an attachment or move through the path.
It is possible to narrow down task list to a specific task (for example: new tasks or flagged tasks) and to a specific application from which they’re originating.
Tile representing the task consist of basic information about the instance it refers to. There is an option to adjust the data range in the configuration section of WEBCON BPS Designer Studio.
Right next to the tile there is a context menu available. It allows to flag the task and move through the path if on the step where are the configured instances, quick paths were available.
Every Portal user has different reports, dashboards, applications and specific forms to which he would like to have a quick access. Favorites come in handy when we want to save links to these elements.
If the user wants to have quick access to an instance, he should click on a star icon which is always visible in the upper-right corner and add this element to his favorites. While adding the user can personalize the name of the created link. He can also delete link from favorites with an “x” icon visible on the right side of the link.
This functionality allows to create a menu accessible from every place of the Portal and tailored to ones needs.
2.6. Searching structures
Searching structures view is available in Portal by default. It displays all instances to which currently logged user has privileges. Instances are presented in a report form sorted by available applications. They are navigated by going to lower and lower items grouped by application, process, workflows, form types and steps. It allows the user to find items in the system even when the administrator did not prepare a specific report presenting those instances.
WEBCON BPS Portal allows to display its content in one of the available languages. Choosing language by the user results in according changes in WEBCON BPS Portal content and form translations to the specified settings.
Language change is found in the menu available just next to the currently logged-in user in the upper-right screen corner.
WEBCON BPS Portal is a modern interface which revolutionizes business user work in applications created in WEBCON BPS. Standardization of the look and portal structure ensures a coherent digital working environment with an easy access to tasks and information.
This article covers only a part of the new functionalities. Information about the application website and creating reports and dashboards will be included in following articles.
